Terms & Conditions

Please read these Terms and Conditions ("Terms'') carefully before using the Singh Bros Event Rentals website ("Website") and engaging in any transactions with Singh Bros Event Rentals ("Company," "we," or "us"). These Terms govern your access to and use of the Website, as well as any rentals or purchases made through the Website. By accessing or using the Website, you agree to be bound by these Terms. If you disagree with any part of these Terms, please refrain from using the Website.

**A valid credit card and driver’s licence are required for renting any items.**

Definitions:

Rental Company: Refers to Singh Bros Event Rentals Corp., its owners, officers, directors, and employees.
Customer(s): Includes the primary renter, guests/visitors of the customer, and their agents, contractors, and/or employees.
Rental Agreement: Means the itemized list of rental items contained in the electronic estimate or invoice emailed, printed, or faxed to the Customer, which, upon signature/acceptance and/or payment of a deposit or full amount, signifies the Customer's agreement with its contents.
Rental Center: Refers to Singh Bros Event Rentals showroom, warehouse, or any other facility owned or leased by Singh Bros Events Rentals for storage, maintenance, or transfer of equipment.

Unless noted otherwise, the client has agreed to acquire all applicable permits and zoning permissions. Setup and break down (tents excepted) are the responsibility of the client, unless otherwise noted. Contact your local building department for details. Building permits are generally required in Ontario for all tents >645 Square feet and engineer's inspection for tents larger than 2420 Square feet. 

Reminder

Please ensure all tables/chairs are stacked neatly, dishware scraped free of food and glassware is emptied prior to placing them back in their respective crates and/or boxes. In the event, Singh Bros Event Rentals employees are asked or required to conduct setup or take down, which is not the part of the order, upon delivery or pickup of items, Singh Bros Event Rentals bill an additional $1 per item for setup and $1 per item for dismantling. This may include but is not limited to folding of chairs and tables, stacking dishes in crates, removing cushions or linens, removing waste or debris from the rentable items. This convenience fee is only in the best interest of the Customer as opposed to being charged for an extra day for the rentable items in situations when items are not made ready for pickup by the customer. 

By Submitting your deposit, you are agreeing to all the Terms and Conditions listed below:

The Customer acknowledges the responsibility of reading and understanding the entirety of the terms and conditions outlined in this Agreement.

**A valid credit card and driver’s license are required for renting any items**

The Customer grants Singh Bros Event Rentals the right to charge the client's credit card for any damages that may occur during the rental period.

  • A 25% non-refundable deposit is required to confirm the reservation. The remaining 75% balance for the rentals must be paid in full 7 days prior to the event date. By booking with Singh Bros Event Rentals, the Customer authorizes automatic credit card charges for the remaining balance on the specified date. Payment can be made through e-transfer, cash, credit card, or cheques payable to Singh Bros Event Rentals Corp. Failure to meet the payment obligations may result in order cancellation without refunding the initial 25% deposit, or application of late payment charges. All cancellations made after providing the deposit will result in the loss of the deposit, regardless of the circumstances or reasons for cancellation.
  • Rental of all items is based on a one-day use. Additional charges apply for multiple day usage.

Changes & Cancellation

  • Cancellation of items: You may remove one or more item (s) from your order or cancel your entire order. Once items are reserved, cancellations are subject to the following: Items cancelled 90 days or more prior to delivery are subject to a 25% cancellation fee. Items cancelled 60-90 days prior to delivery are subject to a 50% cancellation fee. Items cancelled 60 days prior to delivery will be charged a full cost. Days prior refers to the number of days before the earliest of the receipt of goods or performance of services.
  • Changes to your order: Once items are reserved, reductions are permitted and subject to the following: Quantities can be reduced by no more than 15% up to 90 days prior to your delivery date. Quantities can be reduced by no more than 5% within 7-90 days prior to your delivery date. Quantities cannot be reduced within 7 days prior to your delivery date (*Balance due date*) *** Quantities can be increased at any point in time, subject to availability***

Delivery

  • Delivery schedules are not guaranteed due to factors beyond the driver's control (e.g., traffic, weather). The Customer must count all items upon delivery and sign the delivery invoice once verified. Responsibility for any damage or injury during equipment installation remains with the Customer. Standard delivery times are 9:00 am-5:00 pm. Additional charges apply for deliveries/ pickups outside of these hours.
  • Delivery & Setup Timing Notice:
    The delivery and setup times listed on this invoice are tentative and subject to route scheduling. If you require a guaranteed / exact time window, a $100 priority scheduling fee will apply to reserve and prioritize your order. Otherwise, the final delivery time will be confirmed one (1) day prior to the delivery date once the dispatch schedule is finalized (anytime between 11AM-5PM).
  • Additional charges apply in the event load in/ load out access is difficult, excessive in distance, or time consuming.
  • Additional charges apply in the event items are to be delivered to / picked up from non-ground level areas.
  • Setup/ Dismantle is not included in the price of rental products, other than tents.
  • Setup/ Dismantle can be arranged at an additional cost.
  • Customer is responsible to ensure they or a representative is on-site to accept delivery of their order.
  • Customer is responsible to ensure that Singh Bros Event Rentals has access to Deliver/Pickup the rentals on specified dates. If a return trip is required, additional charges will apply.
  • For Residential deliveries, all items are to be delivered to/ picked up from a garage or backyard/ covered area (*(if tent was rented) provided there is easy access. Singh Bros Event Rentals staff is not permitted to deliver/ remove items from within the home.
  • Customer agrees to ensure that all items remain in a safe and protected area from the time they are delivered until the time Singh Bros Event Rentals staff arrives to pickup.

Pickups

  • During Customer Pickup, the customer is responsible for loading, unloading, and securing items within their vehicle and any resulting damages during these operations. Pick-up and return times are limited to Monday to Saturday (excluding Tuesdays & Statutory Holidays) from 9 AM -1 PM only or during the timings provided by Singh Bros Event Rentals specifically to your order. No returns are to be scheduled on Sundays.
  • Customer is responsible for any damaged or missing items while in their possession and will be charged full replacement cost. In the event, items are damaged or missing upon arrival, it is the customer responsibility to notify Singh Bros Event Rentals immediately via EMAIL (contact@singhbroseventrentals.ca). Goods not returned when due, or damaged beyond the repair, will be charged for at their fair market value when rented. You agree to bear the cost of repairs, whether performed by us or at our option, by another. You agree to pay for the above stated losses, charges and costs. The cost of missing and damaged items will be charged to the Customer's credit card.
  • Vehicles must be fully enclosed when orders are being picked up/ returned by customer.

Policies/ Customer Agreements

  • Winter Conditions: The customer shall ensure that there is no snow or ice accumulation on the roof of the tent structure. Failure to do so will result in damage charges. Tent snow removal services by the Singh Bros team are available upon request at an additional charge.
  • Fire: Although Singh Bros Event Rentals uses only flame-resistant fabrics in its tent structures, it does not warrant that the equipment is fireproof or flame-resistant. The customer shall take every precaution to prevent fire and in the event of any neglect in this regard, the customer shall pay any damages suffered by Singh Bros Event Rentals. ***NO OPEN FLAME OR CAMPFIRES ALLOWED WITHIN 100 FEET OF SINGH BROS TENTS***
  • All China and cutlery are rented and packaged in multiples of 10. Glassware is rented by dozen. It is the customer responsibility to scrape plates, empty cups/glasses, and return all items into the containers in which they arrived in. Please ensure that you DO NOT double stack cups/glasses and over stack plates, to avoid breakage.
  • Customers are responsible for taking protective measures depending on where products and furnishings will be used i.e. pads should be used for furnishings or chairs being used on hardwood floors.
  • If you choose to apply a vinyl wrap to our dance floors, you are responsible for ensuring its complete removal before pickup or return. Dance floor wrap (purchased from a different company) must be removed prior to the scheduled return. If our team is required to remove the wrap, a charge of $20 per tile will apply. You assume all liability for any damage that occurs during the wrapping, removal, or adhesive application process. If damage occurs, the customer is  required to cover the cost of repairs or full replacement of the affected item (s).
  • Customer agrees to pay all reasonable attorney fees and court costs incurred by Singh Bros Event Rentals in enforcing these terms and conditions.
  • Singh Bros Event Rentals and its affiliates and representatives disclaim all explicit or implied warranties and conditions of any kind. All materials are rented “as is” without warranty of any kind. Singh Bros Event Rentals and its affiliates and representatives make no warranties, express or implied, without limitation about the condition of the equipment, its performance, and its fitness for any purpose. We will not be responsible for any defect or failure of the rented item unknown to us. Your sole remedy for any failure of or defect in the rented item is termination of the rental charges at the time of failure, provided that you notify us immediately of such failure and return the rented item to us within 12 hours of such failure.
  • Linens are to be shaken to remove any debris and then loosely placed inside the linen bags. The Customer is responsible for ensuring that no linen is returned to the linen bag if that linen is damp or wet and the Customer must first leave linen out to dry, in a protected environment, before returning it to the bag. Mildew is permanent and will result in replacement charges. Wax does not generally come out in the wash; if we are not able to remove, excessive wax may result in additional cleaning charges. Burn holes or other permanent damages (Turmeric Stains, Stains from Pen/Colors/Markers to name few) will result in replacement charges. Extra charges will be determined by the extent of damage and replacement fee for linens is a fixed cost on a per item basis which is 3 TIMES THE AMOUNT OF RENTAL.
  • Mattresses must be shaken to remove debris or hair. Any spills should be cleaned immediately to prevent staining. A cleaning fee may apply.
  • The Customer agrees that the Company may use their name, company name, and photos from the event for promotional purposes.
  • ALL RENTED EQUIPMENT, INCLUDING ANY THAT MAY BECOME DAMAGED DURING THE RENTAL PERIOD, REMAINS THE SOLE PROPERTY OF SINGH BROS EVENT RENTALS. CUSTOMERS SHALL NOT CLAIM OWNERSHIP, DISCARD, OR DISPOSE OF ANY DAMAGED ITEMS. IN CASES OF DAMAGE, THE CUSTOMER MAY BE HELD FINANCIALLY RESPONSIBLE FOR REPAIR OR REPLACEMENT COSTS AS PER OUR RENTAL TERMS.
  • If there are any equipment malfunctions or operational problems during the rental period, the Customer must notify the Company immediately to be considered for any replacement or price adjustment. An after-hours staff member can be reached at 647-667-2990 or 647-674-4160 for emergencies during an event in progress.

Tents-Additional Terms & Conditions

  • Customers must arrange for Ontario One Cell (or an equivalent private service) to locate and mark underground utilities before installation. Pool and sprinkler lines are not covered by these services, so they must be marked by the customer. THE CUSTOMER MUST INFORM THE COMPANY OF ANY UNDERGROUND UTILITIES (E.G., PHONE OR GAS LINES, SEPTIC SYSTEMS) OR CONDITIONS THAT MAY INTERFERE WITH THE STAKING/ANCHORING OF EQUIPMENT. The Customer assumes responsibility for any damage to underground utilities in the absence of such notice.
  • THE CUSTOMER AGREES TO OBTAIN ANY NECESSARY PERMITS (MUNICIPAL OR OTHERWISE). The Company can obtain Temporary Structure Permits on behalf of the Customer at an additional charge. The Customer is responsible for providing parking permits or parking spaces for the delivery of rented items. The Customer agrees to pay for any parking fines incurred during delivery.
  • Singh Bros Event Rentals reserves the right to refuse installation or delivery of rental equipment due to unsafe conditions or weather. The Customer understands that tents provide limited protection from weather conditions and must evacuate the tents during severe weather.
  • Customer agrees to clear the site upon which the equipment to be erected of all structures and other impediments prior to the arrival of installation team. Upon failure to clear the area, Singh Bros Event Rentals may opt to postpone the erection, with customer responsible for the full contract value, plus an additional rescheduling fee of not less than 25% of the full contract value to cover rescheduling costs. Unless otherwise stipulated in contract, Singh Bros Event Rentals shall not be responsible for filling holes left in the ground, nor for damage to trees, flowers, shrubs or any elements in proximity to the tent, howsoever caused.
  • If there is any failure in the equipment, whether in the form of total collapse, or other damage, so that the equipment cannot be used fully and safely and if the said failure is caused by wind exceeding 35 km/hr or by lightning, hail, snow, sleet or freezing rain, or any act of God, Strikes, boycotts or circumstances beyond our control, Singh Bros Event Rentals shall not be liable for any loss and / or damage incurred by the customer arising from such failure, or if any claim is made against Singh Bros Event Rentals by a third party, and the customer shall remain liable to Singh Bros Event Rentals for all rental charges. If the customer wishes Singh Bros Event Rentals to subsequently re-erect the tent, when conditions permit, Singh Bros Event Rentals shall do so provided the customer pays for the cost of such additional erection work and provided Singh Bros Event Rentals has substitute equipment and manpower available.
  • Weather-Related Risks- For the safety of all event attendees, the Customer agrees to develop and follow an Emergency Evacuation Plan when renting tents from Singh Bros Event Rentals. The Customer understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun and rain and must not be used as shelter in severe weather or emergency situations (e.g., high winds, lightning, heavy rain, fire, gas leaks, or ground movement). In such situations, immediate evacuation is required. The Customer must assign a responsible on-site Point Person who will monitor weather conditions, manage evacuation if need, and communicate with guests. An Evacuation Location (e.g., a nearby building or garage) must be identified and accessible throughout the event. A Communication Plan must be in place to notify all guests in the event of evacuation (e.g., cellphone, PA system, or bullhorn).The Customer is responsible for monitoring weather conditions leading up to and during the event using weather apps or alert systems. If hazardous conditions are forecasted or occur, the Point Person must take immediate action to evacuate guests. Do not re-enter the tent until Singh Bros Event Rentals or emergency services have inspected the site and declared it safe. If any anchoring devices have shifted, or tent structure has been compromised, use is prohibited until re-secured and authorized by our team. The Customer is advised to evacuate tents during severe weather conditions, including strong winds and lightning. The Company can provide on-site staff for weather assessment and evacuation assistance at an additional charge. If the Customer declines these services, they are responsible for monitoring weather conditions and making evacuation decisions. Singh Bros Event Rentals is not liable for injuries or damages arising from failure to evacuate or unsafe use of the tent during emergencies.

Stage Rentals

For Pickup Orders: Only 4x8' Stage is available for the pickups.

  • Renter is solely responsible for the safe transport, setup, and takedown of the stage. 
  • Singh Bros Event Rentals is not liable for any injuries, damages, or losses that occur during loading, transport, setup, use, or dismantling of the stage once it leaves our premises.
  • The renter assumes all responsibility and agrees to hold Singh Bros Event Rentals harmless from any claims arising from the use or misuse of the rented equipment.
  • All items must be returned clean, dry, and in good condition by the agreed return time. Late returns may incur additional charges.

For Deliveries:

  • Standard delivery includes drop-off and pickup at ground level.
  • Stage setup and takedown services are available at an additional charge and must be pre-arranged.
  • Clear access must be provided; if site conditions differ (e.g., stairs, uneven ground), please inform us in advance. If stage delivery involves stairs or elevators that were not communicated in advance, an additional invoice will be issued based on the number of stairs, distance to the setup location, and elevators size and quantity.
  • Client is responsible for monitoring the safety of the stage area throughout the event.

General Terms:

  • Stage height, layout, and setup location must be confirmed at least 7 days prior to the event.
  • The renter is responsible for ensuring the stage is placed on level ground and used in a safe manner.
  • Singh Bros Event Rentals is not liable for accidents, injuries, or damages due to improper use, movement or/and installation by others, or environmental conditions (e.g., wind, rain).
  • Any missing or damaged components will be billed at full replacement cost + 25% admin fee. 

Intellectual Property

  1. Ownership: All content on the Website, including but not limited to text, graphics, logos, images, and software, is the property of Singh Bros Event Rentals and is protected by applicable copyright and intellectual property laws.
  2. Use of Content: You may access and use the content on the Website for personal and non-commercial purposes only. Any unauthorized use, reproduction, or distribution of the content is strictly prohibited.

Modifications to the Terms

  1. We reserve the right to modify or replace these Terms at any time without prior notice.
  2. By continuing to access or use the Website after any revisions become effective, you agree to be bound by the revised Terms.

Governing Law

These Terms shall be governed by and construed in accordance with the laws of the province of Ontario, Canada.
